Bee203 Privacy Policy

Bee203 ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web application (collectively, the "App").

1. INFORMATION WE COLLECT

a) Information You Provide

When you create an account and use Bee203, we collect:

- Account information: name, email address, and password
- Profile information: display name and optional profile photo
- Content you create: tasks, groups, receipts, action logs, notes, descriptions, and attachments (photos, files)
- Client/contact information you enter: names, phone numbers, email addresses, physical addresses, and business details
- Payment and receipt data: vendor names, amounts, payment methods, and receipt images

b) Information from Third-Party Services

When you connect optional integrations, we access:

- Google Calendar: We read and write calendar events to sync your tasks with due dates. We use the "calendar.events" scope which allows creating, viewing, updating, and deleting events on your calendars.

- Google Contacts: We read and write contacts for bidirectional sync between Bee203 clients and your Google Contacts. We use the "contacts" scope which allows viewing, creating, and editing your contacts.

- Google Maps / Places: We use Google Maps APIs to display maps, search for business locations, and plan routes. This uses an API key and does not access your personal Google data.

You can disconnect these integrations at any time from Settings.

c) Automatically Collected Information

We automatically collect:

- Device information: device type, operating system, and app version
- Usage data: features used, screens visited, and general interaction patterns
- Error and crash reports to improve app stability
- We do NOT collect precise GPS location data unless you explicitly use the route planning or check-in features, and only while those features are active

2. HOW WE USE YOUR INFORMATION

We use the information we collect to:

- Provide, maintain, and improve the App and its features
- Create and manage your account
- Sync your tasks with Google Calendar when you enable this integration
- Sync your contacts with Google Contacts when you enable this integration
- Display maps and business locations when you use route planning
- Process and organize your receipts and expense data
- Send you notifications about task assignments, approvals, and reminders (when enabled)
- Enforce our Terms of Service, including our zero-tolerance termination policy
- Respond to your support requests
- Monitor and analyze usage trends to improve user experience

3. HOW WE SHARE YOUR INFORMATION

We do NOT sell your personal information. We share your information only in these limited circumstances:

- With group members: When you create or join a group, other members can see tasks, receipts, and content shared within that group
- With service providers: We use Supabase for database hosting and authentication, Cloudflare for web hosting, and Google APIs for calendar, contacts, and maps integrations. These providers process data on our behalf under strict data processing agreements
- For legal compliance: We may disclose information if required by law, court order, or governmental authority
- To protect rights: We may share information to protect the rights, property, or safety of Bee203, our users, or others
- With your consent: We may share information for any other purpose with your explicit consent

4. DATA STORAGE AND SECURITY

Your data is stored on secure servers provided by Supabase (hosted on AWS). We implement industry-standard security measures including:

- Encrypted data transmission (TLS/SSL)
- Row Level Security (RLS) policies ensuring users can only access their own data
- Secure authentication with encrypted password storage
- Regular security audits of database policies and access controls

While we strive to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.

5. YOUR RIGHTS AND CHOICES

You have the following rights regarding your data:

- Access: You can view your personal information within the App at any time
- Correction: You can update your profile information, tasks, and other content directly in the App
- Deletion: You can delete individual tasks, groups, receipts, and other content. To delete your entire account and all associated data, contact us at info@cabanawest.com
- Export: You can export your tasks and receipts to PDF or Excel format from within the App
- Disconnect integrations: You can disconnect Google Calendar and Google Contacts at any time from Settings, which stops data syncing
- Notifications: You can enable or disable push notifications from Settings
- Data portability: You can request a copy of your data by contacting us

6. GOOGLE API SERVICES - USER DATA POLICY

Bee203's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:
- We only request access to Google data that is necessary for the features you choose to enable
- Calendar data is used solely to sync your Bee203 tasks with your Google Calendar
- Contacts data is used solely to sync your Bee203 clients with your Google Contacts
- We do not use Google API data for advertising purposes
- We do not transfer Google API data to third parties except as necessary to provide the App's features
- We do not use Google API data to build user profiles for advertising or marketing
- You can revoke access at any time by disconnecting the integration in Settings or by removing Bee203 from your Google Account permissions at myaccount.google.com/permissions

7. CHILDREN'S PRIVACY

Bee203 is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will promptly delete it. If you believe a child has provided us with personal information, please contact us at info@cabanawest.com.

8. DATA RETENTION

We retain your data for as long as your account is active or as needed to provide you with the App's services. When you delete content (tasks, receipts, groups), it is soft-deleted and may be recoverable for a limited period before permanent deletion.

If you request account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

9. INTERNATIONAL DATA TRANSFERS

Bee203 is operated from the United States. If you access the App from outside the United States, your information may be transferred to, stored, and processed in the United States where our servers are located. By using the App, you consent to the transfer of your information to the United States.

10. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new Privacy Policy in the App and updating the "Effective Date" above. Your continued use of the App after changes are posted constitutes your acceptance of the updated Privacy Policy.
